Purpose
This policy establishes guidelines for reimbursing remote working employees who use their personal internet service to conduct essential work on behalf of Global Outreach, ensuring compliance with IRS accountable plan rules and promoting responsible stewardship of resources.
Eligibility
Employees are eligible for home internet reimbursement if:
• Their status as a Home Office Employee is that of remote employee.
• Their role requires regular and consistent use of internet for business purposes (e.g., field communication, email access, donor/stakeholder contact).
• They use their personal internet access to fulfill those responsibilities.
• The business use can be reasonably substantiated.
Guidelines
For eligible employees, the organization will reimburse 50% of an employee’s monthly internet service plan cost.
• This reimbursement is intended to cover business-related usage only.
• The policy does not include reimbursement for the purchase of new devices, upgrades, accessories, or insurance plans.
• Reimbursement is provided upon submission of a monthly statement showing the total cost of the service plan.
• This policy applies to all eligible remote home office employees and is subject to periodic review.
Reimbursement Process
To receive reimbursement under the organizations accountable plan:
• The employee must have approval from their Department Vice President.
• Upon approval, the employee must complete the Expense Reimbursement Form within 30 days of receipt of home internet bill.
• The employee must attach a copy of the internet bill to the expense reimbursement form.
